General Data Protection Regulation (GDPR) applying from 25th May 2018

 
The GDPR (General Data Protection Regulation) will apply in the UK from 25th May 2018, changing the way schools manage and look after data and information; from paper in filing cabinets, through to the retention of student/staff records to monitoring day-to-day activities and security. 
 
It is important that schools are aware of the changes and start planning their approach to GDPR compliance. Failure to comply with GDPR could see large fines issued for your school data controller. 
 
GDPR is a complete change to current data protection and:
 
  • Strengthens & unifies data management 
  • Makes it mandatory to report data breaches within 72 hours 
  • 3rd party data processors must be GDPR compliant 
  • Mandates need for formal contract and/or SLA 
  • Issue fines for non-compliance up to 20 million Euro's or 4% of global turnover 
  • Gives control to individuals 
 
The Information Commissioner Office (ICO) has issued a "Preparing for GDPR - 12 Steps to take now" document.
 

What are ICT Services 4 Education doing to support you through this change:

 

During the Autumn term we will be arranging awareness sessions for schools and Academies. Details will be available early September and there will be a charge to attend these sessions.
 
We are working with a Supplier to provide a GDPR compliance portal service for schools to demonstrate compliance. This will be an optional service available as part of our portfolio.
 
We are working with all our Suppliers to ensure they will be GDPR compliant by May 2018 so we can provide you with this information.

Smart Technologies Update from 1st July 2017

Please be aware Smart Technologies have changed their pricing models for licencing from 01st July 2017 and Smart Notebook 11.4 is no longer supported or downloadable. ICT Services 4 Education have negotiated pricing structures with Smart to achieve the best possible deals for Norfolk Schools including site licencing. The attachments show annual individual screen pricing and site licencing options.

 

Smart Learning Suite is also available for a 45 day trial https://education.smarttech.com/en/products/notebook/download. At the end of the trial the software will be locked down to limited Notebook functions (read-only no new content). Those with third party screens will see watermarks on the screen after the trial. Details of the  limited mode can be found at https://education.smarttech.com/products/smart-learning-suite/smart-learning-suite-faqs#what-happens-if-my-subscription-ends-or-my-trial-expires

 

The pricing includes schools using Smart software on third party screens. Schools with Less than 25% SMART may use the Mixed Pricing structure in the attached Site Agreement document. Any customer committing to a 3 year extension will receive an additional 4th year for FREE. Offers expire on September 30th 2017.

With a start date of September this ensures alignment of both the academic and financial years for academy status schools.

INFORMATION REQUIRED: E-safety contact details required for all schools with Google nsix email

As part of the Google nsix email service we also offer the option of e-safety monitoring for all emails that are sent to and from your school’s nsix Google email accounts. Many schools have already been set up with this e-safety monitoring which flags up any emails that are potentially of concern and sends a copy to the designated e-safety monitors at the school for review. However, there are some schools which have yet to provide us with the details necessary to set up this service.  Because e-safety is a priority for all of us, we are currently reviewing the e-safety set up for all schools that have Google nsix email accounts to ensure that all schools have monitoring set up and that their e-safety contacts are up to date.  

We are asking all schools with Google nsix accounts to complete the form which can be accessed via this link:

You will need to provide at least one e-safety contact who will then receive and monitor copies of any emails which are flagged up by the e-safety monitoring process.  We recommend that you provide a Google nsix account as the main ‘e-safety manager’ contact as it will then be possible for that person to manage your school’s nsix e-safety contacts directly via Google. This will enable the ‘e-safety manager’ to add/remove e-safety monitors in the future.

The form needs to be completed by 1st August 2017. 

If you are a school who has not provided us with any details and no response is received by this date then the head@schoolname.norfolk.sch.uk (or equivalent) email account will be set up as the designated e-safety contact and will receive copies of any flagged up emails for review. 

If you are a school who has previously provided us with an e-safety contact or contacts, we will check what is currently held on our records and update if necessary. If no response is received we will leave the contact(s) the same.

IMPORTANT INFORMATION: Powering Off Core Network Equipment Over The Summer Holiday Period

We would like to ask schools to refrain from turning off the power to the core networking equipment over the forthcoming Summer Holiday period. Core networking equipment includes routers, switches and servers, often in a wall or floor cabinet. These devices are monitored by ourselves and Updata and turning off the power results in false alarms. This could result in your school incurring a charge for an engineer visit.

 

Services Affected:                           Schools Internet, email and any service accessed via the internet

 

Services Not Affected:                    All other school systems which do not require access to the internet

 

When:                                              21st July 2017 - 6th September 2017

 

What You Need To Do:

If there is no alternative to powering off the communications cabinet and core equipment then please contact the Service Desk to advise us in advance

IMPORTANT INFORMATION: Norfolk MIS Framework Update

Norfolk MIS Framework Update

Background

The current Capita SIMS contract with Norfolk County Council expires on 31 March 2018 with no option to extend. In response to requests from our MIS contract and non-MIS contract customers, we are keen to offer a Multi MIS offering to give you more choice when selecting an MIS system to meet your future needs.

Norfolk County Council (NCC) have decided to use the North Yorkshire County Council MIS framework for "The Provision of a Management Information System (MIS) for Schools, Academies and Free Schools within Norfolk" and is available for you to use regardless of your current MIS contract or supplier. Norfolk schools and academies are not obliged to use this framework and can make alternative arrangements if they so wish.

We are currently working with the following Framework suppliers to produce pricing and migration/training options where necessary.

  • Capita SIMS
  • Pupil Asset
  • RM Integris
  • Scholarpack
  • Bromcom


 

We are asking each supplier to produce pricing for a 2-3 year contract. It is anticipated that schools will join the contract from June 2017 to September 2018 dependant on when your current MIS contract expires. NCC will be encouraging all our existing SIMS MIS contract schools to make a decision on the Framework by 31 December 2017 to allow for any migration activity during early 2018 if you wish to change MIS.

Timescales

We plan to have the framework available by end of June 2017 and we are arranging MIS supplier demonstration days for you to view the systems available through the Norfolk Framework. It is recommended the Head, Business Manager, Data Manager and School Secretary attend so you can make an informed decision for your school. Details of the events are below.

 

September 18th - Green Britain Centre, Swaffham - 13:00 to 16:00

September 19th - Sportspark, UEA. Norwich - 09:00 to 12:00

September 19th - Sportspark, UEA. Norwich - 13:00 to 16:00

Please note: We are currently looking at venues in the Great Yarmouth area and if demand is high in the Norwich and or King's Lynn area we will look to add additional dates.
